This Privacy Policy explains how Filafolio, LLC, a Florida limited liability company (“Filafolio,” “we,” “us,” or “our”), collects, uses, discloses, and protects information when you use filafolio.com, the Filafolio application, and related services (collectively, the “Service”).
1. Information we collect
Optional website and beta accounts
The production iPhone app does not require a Filafolio account or sign-in. If you voluntarily use the companion website, join a beta, or use another account-based service, we may receive your name or display name, email address, authentication status, invitation code status, account role, join date, and the date and version of your legal acceptance. If you request future beta access, we collect your email address, Apple or Android platform preference, request status, request dates, Official Rules version and acceptance date, and your certification that you meet the stated age, residency, and eligibility requirements so we can administer a beta-interest sweepstakes and manage testing invitations. Because an authorized beta download is an eligibility requirement, we also record when the beta link was sent, when Filafolio verified the requested platform's download or installation through the applicable beta-distribution record, who performed that verification, when an eligible entry was activated, and when the entry confirmation was sent. For potential winners, we may also collect information reasonably needed to verify identity, age, residency, and eligibility, deliver a prize, and maintain legally required promotion records. This information is not used to add you to a marketing list. Founding testers may also be asked to confirm the location and approximate date where they first used Filafolio.
Inventory information
The production iPhone app stores the personal filament inventory you choose to add primarily on your device. This may include brand, material, color, stock number, barcode, purchase price, grams remaining, low-stock status, product link, photo link, and record dates. Filafolio does not host that personal inventory as part of the production service. When you scan a barcode, camera images are processed on your device to read the code and are not uploaded unless you deliberately submit a package-label photo for barcode review.
Private app installation identifier
The app creates a random installation identifier so optional online features—such as barcode lookup and review, catalog retrieval, official-photo retrieval, and issue reports—can return results to the correct installation without requiring an account. The identifier is not your Apple ID, email address, device serial number, or advertising identifier, and it does not contain your personal inventory. A new identifier may be created if the app is reinstalled or its local data is reset.
Shared barcode product registry
Filafolio maintains a shared product registry that connects barcode numbers with non-personal product details such as brand, material, color, stock number, product link, photo link, and typical spool weight. Confirmed product mappings may be reused to identify the same barcode for other users, but your purchase price, grams remaining, account identity, and private inventory records are not included in that shared mapping. Unknown barcodes are not automatically matched with unverified third-party product data.
If an unknown supported retail barcode or manufacturer package code is identified by selecting an exact item from the in-app manufacturer catalog or by manually entering the package details, Filafolio may submit the code, identified brand, material, color, stock number, random installation identifier, and submission time for private review. Purchase price, grams remaining, inventory contents, email address, and camera images are not included in this product-identification submission. A mapping is shared with other users only after Filafolio independently verifies and approves it. A non-GTIN package code remains quarantined because it could otherwise represent a serial, lot, or inventory code.
Barcode label evidence
When a barcode is not yet verified, you may choose to upload a package-label photo. Filafolio uses this private image only to verify the barcode, manufacturer, material, color, product code, and exact product image. Label evidence is available only to authorized Filafolio reviewers and is not used as your inventory photo or shown to other users. Approved non-personal product details may be added to the shared registry.
Support, feedback, and issue reports
If you report an issue or contact us, we collect the affected filament you identify, the details of your report, and related correspondence. A contact email is optional in the iPhone app and is collected only if you choose to provide it.
If you complete the public beta questionnaire, we collect your email address, selected platform and beta version, device model, amount of use, features tested, ratings, multiple-choice answers, written comments, whether you permit a follow-up email, and submission time. You may also choose to upload one screenshot. Questionnaire responses and screenshots are stored privately and are available only to Filafolio's owner and service providers that operate the form, storage, security, and email notification. We use this information to identify beta problems, improve Filafolio, and respond when permitted. It is not used to add you to a marketing list.
Founding Beta Tester activity
To evaluate participation in the private beta, we record the date a Founding Beta Tester opens Filafolio and maintain limited counts of filaments added, inventory decreases, and issue reports submitted. We use these records to show the tester’s last active date, total active days, and a recent, inactive, or never-active status in a private dashboard available only to Filafolio’s owner. This tracking is limited to actions inside Filafolio. It does not monitor camera images, browsing activity on other websites, or activity elsewhere on a tester’s phone or computer.
Technical information
When the app uses an optional online feature, or when you use the companion website, our hosting, security, email, and authentication providers may automatically receive standard technical information such as IP address, browser or device type, request time, referring page, service-error and diagnostic logs, and security events. We use this information for app functionality, troubleshooting, security, and abuse prevention—not advertising or cross-company tracking. Cookies or similar storage may be used where necessary to keep an optional website account signed in, remember a session, prevent abuse, and operate the Service.
2. How we use information
We use information to:
- operate optional website accounts, invitations, and beta access;
- administer drawings, verify and notify winners, deliver prizes, and maintain required promotion records;
- provide software that saves, displays, updates, filters, backs up, and reports on inventory on your device;
- retrieve requested product information or photos from manufacturer or retailer pages;
- send and respond to issue reports, support requests, and service messages;
- operate, troubleshoot, secure, and improve the Service;
- document genuine beta use for business and trademark records;
- evaluate Founding Beta Tester participation and improve the beta program;
- prevent fraud, abuse, and unauthorized access; and
- comply with law, enforce our Terms, and protect rights and safety.
3. How we disclose information
We may disclose information in the following circumstances:
- Service providers. We use providers that support optional website authentication, public catalog and barcode data, hosting, security, email delivery, and product identification. Current providers include OpenAI/ChatGPT, Cloudflare, Apple, and Resend. They process information for us under their own applicable terms and privacy commitments.
- At your direction. When you ask Filafolio to obtain a product photo or follow a product link, information needed to complete that request may be sent to the relevant manufacturer, retailer, or website.
- Legal and safety reasons. We may disclose information if reasonably necessary to comply with law or legal process, enforce our agreements, investigate abuse, or protect the rights, property, or safety of Filafolio, our users, or others.
- Business transfers. Information may be transferred as part of a merger, financing, acquisition, reorganization, sale of assets, or similar transaction, subject to applicable law.
We do not sell personal information for money and do not currently share personal information for cross-context behavioral advertising.
4. Payments and affiliate links
Filafolio does not collect or store your full payment-card number. Apple processes the one-time Filafolio Pro in-app purchase and offer codes. Filafolio and Apple may process purchase status, product, price, territory, restoration, refund, and transaction identifiers needed to provide and support the purchase. Filafolio Pro is not a recurring subscription. If you follow an affiliate link, the retailer or affiliate network may use identifiers to attribute a qualifying purchase and may share commission-related transaction information with us. Filafolio may earn a commission from a qualifying purchase at no additional cost to you. This relationship will also be disclosed near the applicable purchase link.
5. Data retention
Personal production inventory remains on your device until you delete it, import a replacement backup, erase the device, or remove the app. Exported backups remain wherever you choose to save them and are under your control. Filafolio retains optional website-account and purchase-entitlement information only as reasonably needed to provide access, resolve disputes, enforce agreements, maintain security, and comply with law. Future beta-interest requests, beta-link delivery records, download verification records, and entry-activation records are retained while Filafolio manages the applicable testing program or until you ask us to delete a pending request that has not become an eligible entry. Sweepstakes entries, eligibility certifications, winner verification, and prize-delivery records may be retained for the period reasonably necessary to administer the promotion, answer winner-list requests, prevent fraud, and satisfy legal, tax, audit, and recordkeeping obligations. A deletion request cannot remove an entry or record that Filafolio must preserve while a promotion is active or where retention is legally permitted or required. Issue reports and business records may be kept for a reasonable support, audit, or legal period. We may retain de-identified information that can no longer reasonably identify you. First-use confirmations may be retained with Filafolio’s trademark and corporate records for as long as reasonably necessary to establish, maintain, or defend legal rights, even after an account closes, where permitted by law.
Beta questionnaire responses and optional screenshots are retained during beta testing and for a reasonable product-development, support, security, and audit period afterward. Filafolio may retain de-identified findings that no longer reasonably identify a tester. You may request deletion of your identifiable questionnaire response unless retention is reasonably needed for security, legal, or data-integrity purposes.
Founding Beta Tester activity summaries are retained while the beta account is active and for a reasonable period afterward for product evaluation, support, security, and business records. Filafolio limits these summaries to dates and action counts and does not retain camera images as part of activity tracking.
Barcode package-label evidence is retained while a barcode is under review and for up to 90 days after review, unless a longer period is reasonably required to investigate fraud, security, or data-integrity concerns. The approved product record may remain in the shared registry.
6. Your choices and requests
You can update or remove individual filament records in the app and can export or import a portable inventory backup. The production app does not create or require a Filafolio account. Removing the app may remove locally stored inventory and its random installation identifier if you have not exported a backup. If you separately created an optional website or beta account, or wish to request access to, correction of, or deletion of personal information you submitted, contact us at eric@filafolio.com. We may need to verify your identity and may retain information where legally permitted or required. Depending on where you live, you may have additional privacy rights and a right to appeal a denied request; you may exercise them through the same email address.
You can control many cookies through your browser, but disabling cookies or session storage needed for optional website authentication may prevent the account-based portions of the website from working.
7. Security
We use reasonable administrative, technical, and organizational safeguards designed for the nature of the information we process. However, no online service or storage system can guarantee absolute security. Protect access to your iPhone and any exported inventory backup, and notify us if you suspect misuse of an optional online service.
8. Children’s privacy
The Service is not directed to children and is not intended for anyone under 18. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information, contact us so we can investigate and take appropriate action.
9. Third-party links and services
Product links and integrated services may lead to websites or services we do not control. Their privacy practices are governed by their own policies, and we encourage you to review them before providing information.
10. U.S. processing
Filafolio is based in Florida, United States. Information may be processed in the United States and other locations where our service providers operate, subject to applicable safeguards and law.
11. Changes to this policy
We may update this Privacy Policy as the Service develops. We will post the revised policy with a new effective date and provide additional notice when a change is material. If a change requires consent, we will request it.
